We have received emails from study teams asking how long applications can stay in pre-submission before they time out in ARROW. The ARROW IT team has provided the following clarification:
- An Initial Review application will automatically transition from ‘Pre-Submission’ to ‘Withdrawn’ after the application has been in the pre-submission state for 180 days since it was first created (~6 months). It will automatically move to Archived from Withdrawn after another 180 days.
- A Change of Protocol will automatically transition from ‘Pre-Submission’ to ‘Archived’ after it has been opened and in pre-submission for 60 days.
- Continuing Reviews and Reportable Events do not automatically transition from ‘Pre-Submission.’
Study team members can reactivate an application while it is still in the ‘Withdrawn’ state. The PI or a point of contact can use the ‘Send to Pre-submission’ activity to bring it back to life and submit it. They will need IT intervention if they want to re-open an application after it has moved to the ‘Archived’ state. At that point, it would be best to contact to askarrow@hsirb.wisc.edu for assistance, or the study team can start over with a new application or Change of Protocol.
